PROGRAM MANAGER

Job Summary

Reporting to the ISM Director and working closely with faculty and staff in and related to the ISM, the program manager provides strategic leadership and comprehensive management for three areas of the Institute of Sacred Music: 1) annual program of artistic and scholarly events, 2) development of new interdisciplinary initiatives, and 3) the long and short-term Fellowship Program. Artistic and scholarly events include conferences, lectures, literary readings, concerts by guest artists, exhibitions, theatre works, etc. New interdisciplinary initiatives will produce new knowledge, teaching, and creative work that integrate the study and practice of religion with that of music and other arts. The Program Manager directs the ISM Fellowship Program, which brings scholars and artists in ISM-related fields to campus for residencies of up to two years. Fellows teach, pursue research and creative work, and share work in weekly sessions. 

The Program Manager oversees the administration of all aspects of these three areas, including planning, organizing, staffing, and leading program activities. The Program Manager oversees and nurtures the promotion, development and support of intellectual exchange, and possesses integrated and general understanding of the fields involved, particularly religions and their artistic and ritual practices. 

Position Focus

  1. With a substantial degree of initiative, the Program Manager oversees the advancement, growth, and implementation of these areas, supporting their philosophy, mission, strategy, and annual goals and objectives.
  2. Working with the Director and faculty committees, develops and implements long-term goals and objectives to measure and achieve the successful outcome of programs. Develops program evaluations framework to assess the strengths of the program and to identify areas for improvement. Create forms and records to document program activities in order to regularly inform leadership of progress on each initiative. Recommend structural or programmatic changes to enhance the program, as appropriate related to the mission, goals, and objectives.
  3. Directs the ISM Fellowships by developing a strategy with the ISM admission staff to recruit outstanding fellows to come to Yale. Oversees admissions process, develops programmatic opportunities, liaises with university stakeholders, and helps to integrate fellows into the Yale community.
  4. In consultation with Lead Administrator, develops and manages annual budgets and administrative infrastructure of programs. Ensure highest standards of excellence for each program in its planning execution and follow-up reporting. Ensures that program activities operate within the policies and procedures of the Institute.
  5. In consultation with the Lead Administrator, recruits and supervises program support staff, with supervision of events assistant.
  6. Superintends the execution of conferences, special performances, and other artistic and scholarly events on the ISM calendar.
  7. In consultation with Manager of Communications, participates in the design and management of program communications and promotions, ensuring dissemination to key audiences and collaborators. Contributes to development of website content monitoring all changes and additions to the editorial content.
  8. Assists in identifying and evaluating potential future funding sources, and contributes to the submission of grants and contracts. Responsible for program evaluations and measurement of grant success.
  9. Other duties as assigned.

Required Education and Experience

Master’s in field related to the work of the ISM.

Preferred Education and Experience

Advanced degrees in religion and music.

ADMISSIONS OFFICER

Job Summary

Reporting to the Director of the ISM, organize and conduct outreach and recruiting activities to help meet enrollment goals for the Institute academic programs, fellowship program, and related initiatives.  Primary responsibilities include participation in on- and off-campus recruiting events, communication with prospective students, fellows, and other parties, and management of the admissions process from online application to matriculation.  This position will assist the Director and faculty with the implementation of innovative admissions strategies and programs to enroll the strongest possible ISM class annually. This position also works with the Program Manager in recruiting the strongest possible long- and short-term fellows to the ISM. 

Position Focus

Provide direction and support for the Institute’s recruitment and admissions processes (students and fellows).

Principal Responsibilities

  1. Execute recruiting strategies.
    • A. In consultation with the Communications Manager, assist in the preparation of written and web-based recruitment materials.
    • B. Conduct on- and off-campus recruiting sessions. 
    • C. Represent the ISM at 2-3 major conferences per year, and make recruiting trips to up to 8 campuses per year, or coordinate site visitors. 
    • D. Ship and set-up all exhibit materials for the ISM booth. Order Yale-branded giveaway merchandise and replenish program materials in consultation with Communications Manager.
    • E. Organize all aspects of Yale alumni events at conferences and serve as conduit for ISM updates and news with Yale alumni.
    • F. Promotional products (Prism for Prospects). Innovate and manage the campus visit program, and assist in the on-campus open houses for Divinity degree programs. Engage in daily contact with prospective students to provide information and advice about ISM programs. Advise prospective students about admissions requirements, options, policies, procedures and associated topics.
       
  2. Provide general and detailed program information to inquirers throughout the admission process, referring them to the appropriate faculty and sending travel information when needed.  Prepare and send all admissions correspondence.
     
  3. Implement the admissions programs for the ISM.
    • A. Process online applications and maintain confidential admissions files and documents for the Institute’s graduate degree tracks, Institute Fellows, and others as needed.
    • B. Act as the software expert for the Institute’s online admissions and application database. Collaborate with software developer and graduate schools (YDS & YSM) to troubleshoot admissions process-flow issues, and prepare reports to ensure accuracy and to properly account for and manage current students.
    • C. Act as a liaison between the Institute and the admissions offices of Yale Divinity School and Yale School of Music, and maintain accurate admissions and degree information and deadlines in all ISM publications (website, bulletin, other materials)
    • D. Manage and implement audition schedules for the Institute’s music degree tracks (choral conducting, organ, and voice).
    • E. Maintain a current database of admissions inquiries.
    • F. Prepare and present admissions statistics for annual reports.
    • G. Act as liaison to departments and schools for applications to long-term fellowships.
    • H. Act as liaison with Yale collections curators for applications to short-term fellowships.
       
  4. Support the work of the Admissions Committee and Fellows Selection Committees, evaluating all application files and preparing materials for Committee review.
     
  5. Support admitted students by being versed in Yale Divinity School and Yale School of Music’s expectations for students and serve as a liaison between all three offices to properly disseminate information.
    • A. Maintain current student records and contact information in Filemaker.
    • B. Maintain confidential dossier files for alumni: process alumni requests for mailing, and file dossier materials.
    • C. Assist in facilitating financial aid questions and communications between ISM students and the ISM financial aid coordinator.
       
  6. Support major ISM student events such as the new-student orientation and commencement banquet and awards ceremony.
     
  7. Collaborating with the Communications Manager, maintain current student and ISM community records in Filemaker database, assisting with other database categories as needed.
     
  8. Serve as recruiter, fact-finder, or liaison with other Institute outreach initiatives such as the ISM Congregations Project.
     
  9. Other duties as assigned.

Required Education and Experience

  • Bachelor’s degree in relevant field and two to three years of experience in higher education administration or a related professional field, or an equivalent combination of education and experience.
  • Demonstrated excellent writing/editing/proofreading skills.

EVENTS/ADMINISTRATIVE ASSISTANT

Job Summary

Reporting to the ISM Program Manager, assist in three primary areas, 1) annual program of artistic and scholarly events, 2) development of new interdisciplinary initiatives, and 3) the long and short-term Fellowship Program.

  1. Assist with planning and serve as on-site support for an array of artistic and scholarly events including conferences, lectures, literary readings, concerts by guest artists, exhibitions, theatre works, etc.
  2. Assist program manager with general office support, including calendaring, budgets, research, and communication.
  3. Assist in on-boarding new ISM fellows and their integration into university life.

The position requires hands-on production of complex multidisciplinary and multicultural events, good organizational and communication skills, and knowledge of university academic structures.

Position Focus

The primary event coordination of the Events/Administrative Assistant position includes:

  1. Set-up and coordinate registration/ticketing as needed, using EventBrite or similar.
  2. Confirm venue reservations, rentals, and event production details.
  3. Order catering for all necessary events and receptions.
  4. Determine A/V needs and coordinate the provision of A/V support.
  5. Manage events and performances: front-of-house activities and stage management.
  6. Manage equipment rentals (e.g. extra chairs, specialized instruments, lighting, etc.).
  7. Schedule and coordinate equipment and instrument moving to event venues.
  8. Coordinate photography/recording (video/audio) of events with necessary permissions.

The primary administrative responsibilities of the Event/Administrative Assistant position include:

  1. Book travel and accommodations for guest presenters.
  2. Coordinate with business office to resolve visa issues for invited guests when relevant.
  3. Create detailed itineraries for guest presenters.
  4. Maintain inventory of events-related supplies in coordination with staff.
  5. Hire and supervise student workers needed for event staffing.
  6. Track and submit payroll for event support workers.
  7. Prepare handouts and other presentation materials as needed.
  8. Initiate service requests and purchase materials as needed.
  9. Create checklists for individuals involved in ISM events.
  10. Initiate and follow up on payments and reimbursements for guest presenters.
  11. Create detailed event schedules in conjunction with ISM faculty.
  12. Gather and proofread event and performance program information.
  13. Assist with website content for ISM events.
  14. Other duties as assigned.

Preferred Education and Experience

  • Bachelor’s degree in a discipline relating to the ISM mission (music, arts, or religion)
  • 3-5 years’ experience in events administration with a focus on educational programming
  • Familiarity with interdisciplinary programming in higher education
