Position Focus

Reporting to the Institute of Sacred Music (ISM) Program Manager, the program coordinator will facilitate communication between the Interdisciplinary Program in Music and the Black Church and campus partners. They will manage communications and nurture connections between other constituencies to facilitate events sponsored by the program. Further, they will work in tandem with the Program Manager in support of scheduling and executing events and coordinating program activities.
 
A successful candidate will be able to execute the following essential duties and responsibilities:
  • Design, coordinate and oversee the logistical and high-level administrative support needs of multi-layered, inter-programmatic and widely publicized educational events, concerts, conferences, symposia and/or other events.
  • Serve as a support to Program Manager, students, staff and faculty regarding event programming.
  • Coordinate and communicate clearly with vendors to negotiate costs and assess requirements of contractors and renters regarding technical needs, security, and other elements of event programming.
  • Design, edit and prepare various marketing materials using varied technical modalities.
  • Coordinate needs for conferences or services including reserving conference rooms; determining catering needs; preparing conference materials; tracking various expenditures and revenues; collecting fees and maintaining necessary records.
  • Serve as a liaison for vendors concerning event-related matters, maintaining direct contact with personnel of various outside organizations and university departments associated with scheduled events.

Responsibilities include, but are not limited to

1. Managing written communications and paperwork between program and campus
partners.
2. Coordinate communications with other constituencies, artists, churches, centers,
societies, and additional organizations material to events.
3. Manage program related data, including database and web
4. Setup and coordinate registration/ticketing as needed, using EventBrite or similar
platforms.
5. Confirm venue reservations, rentals and event production details including
coordination and determination of A/V needs and coordinating the provision of A/V
support, ordering catering for all necessary events and receptions.
6. Manage events and performances: front-of-house activities and stage management.
7. Coordinate photography/recording (video/audio) of events with necessary
permissions.
